When Alamitos Bay Yacht Club knew they needed to consolidate and modernize their software operations, they turned to Clubspot.
By Fritz Baldauf
Since its founding in 1924, Alamitos Bay Yacht Club (ABYC) has built a reputation for competitive sailing, championship regattas, and a family community on the waterfront in Long Beach, California. Supporting that tradition requires coordination across every part of the club. Through its partnership with Clubspot, ABYC has brought those operations together, giving staff, volunteers, and members a more connected experience.
The Problem
Before Clubspot, disconnected systems created extra work behind the scenes at ABYC. Staff and volunteers had to manually move information between platforms, taking time away from running programs and serving the club’s sailing community.
“Many processes lived across multiple systems, spreadsheets, emails, and manual workflows," ABYC General Manager Susannah Pyatt says. "Regatta registrations, waivers, sailing programs, communication, billing, and membership management were often disconnected, which created duplication and inefficiencies. Staff and volunteers spent too much time manually moving information between systems instead of focusing on delivering programs and events."
The Solution
ABYC chose Clubspot to establish a common foundation for its sailing and club operations.
“We wanted a platform that understood clubs, while also being flexible enough for the complexity of a major sailing club. One of the biggest goals was bringing operations together into one connected system instead of relying on multiple disconnected platforms,” Pyatt says.
That approach brought every element of the club into closer alignment. The member app and online portal gave the community a central point of access, while connected registration, waiver, storage, and race information simplified sailing operations. Integration with QuickBooks Online also reduced the manual work required to keep financial information aligned.
“The member app and online portal have been hugely valuable for quicklinks, bookings, communication, statements, and account management. On the sailing side, connecting regatta registrations, sailing program sign-ups, waivers, race information, boat storage and results within one system has significantly streamlined operations. The integration with QuickBooks Online has also reduced manual accounting work and improved financial visibility,” Pyatt says.
The Results
Since adopting Clubspot, ABYC has seen improvements in yard management, billing visibility, waiver management, and member engagement. Centralizing registrations, communications, and participant information has made regattas and everyday sailing programs more efficient to administer. Staff and volunteers can find information faster and coordinate across departments with less manual work.
“The biggest change has been visibility and efficiency. Staff and volunteers can access information faster, departments are more connected, and workflows—such as accounting, sailing program administration, communication, and event registration—are far more streamlined.” Pyatt says.
For members, sailors, and parents, those changes translate into easier interactions with the club. Registrations and account management are accessible from their phones, reducing reliance on emails and paper forms. For staff, less administrative friction means more time to focus on programs, events, and service. Together, those improvements support the sailing community that has defined ABYC for generations, and sets the club up to better serve all the future generations of sailors and members.
“Member expectations are evolving quickly, and technology now plays a huge role in supporting club culture and operations. The right software doesn’t replace club culture — it strengthens it by making engagement easier, communication clearer, and operations more sustainable long term,” Pyatt says.
