From Spreadsheets to Seamless: How Willow Bank Yacht Club Modernized Operations

Willow Bank Yacht Club is a classic sailing club on Cazenovia Lake with deep roots and a strong sense of community. Like many clubs of its kind, it balances a rich sailing tradition with a busy family-oriented social environment, all supported by a small year-round staff and a rotating cast of volunteer leaders. As expectations for digital experiences have evolved, WBYC reached a point where its legacy systems could no longer keep up with the way the club actually operated.
The Problem
Before adopting Clubspot, WBYC was managing operations across a fragmented mix of tools that did not communicate with each other. WBYC Purser Pia Murray elaborates:
“Our story isn’t really very different [from so many other clubs]. We were operating on a set of aging, disconnected platforms that created a huge amount of work and an ever-increasing expense. Among them were a clunky website, terrible time keeping software with overseas tech support, dozens of spreadsheets and bags of cash.”
This disconnection was especially challenging given the club’s structure. Murray explains:
“Our club is largely a volunteer organization, with only two year round employees and a lot of youth summer staff. Our Flag Officers, Social and Mooring Chairs and all other committee chairs are volunteers and change frequently. One of the biggest benefits of Clubspot to us is having a platform that helps make these leadership transitions easier, and has the support to help train incoming volunteers.”

“We are primarily a sailing club, but we also have grounds and a beach that is very busy with families and children. Moving to Clubspot has also done great things in terms of connecting the sailing community at WBYC to the non-sailing community, which was one of our goals when becoming a Clubspot client. Everyone can now see regatta and race results on the website, and know whose boat is whose.”
The Results
The impact of moving to Clubspot has been felt across every aspect of the club’s operations, from financial performance to member engagement. Murray elaborates:
“Moving to a platform that incorporates online payment via ACH and credit cards has done incredible things for our cash flow, something our Board of Directors is happy about!”
The platform has also made a meaningful difference in how the club functions internally. Training seasonal staff and onboarding new volunteers is far simpler with a single, intuitive system.
