The Problem
Like many private clubs, Maplewood was operating with a fragmented technology stack that created friction across key areas of the business.
Billing and membership management were particularly challenging. Processes that should have been simple required multiple steps, slowing down staff and increasing the likelihood of errors. Event Coordinator Tori Pierce details the issues:
“We were utilizing ClubTec for billing and membership information. Billing was a big hassle, and creating buttons on the POS was this long drawn out process, nothing about it was simple.”
Event management and communication added another layer of complexity. Coordinating details, sending updates, and managing multiple tools made it difficult to maintain efficiency, especially for a lean team.
Even small operational updates required unnecessary effort. What should have been quick adjustments often turned into time-consuming tasks, pulling staff away from delivering the member experience.

The Solution

“Something that has been a big, big relief for us is that it has been a one stop shop for us with Clubspot. That was the big motivator to go with Clubspot, that we can manage our events, our banquets, our membership billing, advertising, everything just through Clubspot and alleviate having to work with multiple sources that we were paying for.”
With Clubspot, the team was able to centralize event management, billing, and communications, eliminating the need for disconnected systems.
Event workflows became significantly more efficient. “Putting together our BEOs and getting to send them to our members and clients all within Clubspot has been a huge relief instead of having to go back and forth.”
The POS system also became easier to manage. “On Clubspot it’s been like a breeze. You click two or three things and then boom, you’ve got a new button,” Pierce says.
Communication tools were brought into the same platform, allowing the team to manage outreach without relying on separate systems. “As far as advertising goes we had been using constant contact to send out our emails. Being able to move away from that and do everything through Clubspot has been great.”
The onboarding process reinforced the transition. Pierce elaborates:
“It has been an absolute breeze. It has been so straightforward and user friendly. The support has been amazing, because it can be slightly intimidating moving into a new system and having to learn everything, so having the support team is great. As soon as we send an email we either get a phone call, an email, or a zoom call within an hour. An hour has been our maximum wait time with Clubspot. Reed and John have been amazing at sending us recordings of them doing whatever we ask them for help with and they’ll say ‘yeah I’ll demonstrate this for you and send you a recording so you know how to do it in the future.’ It’s been a massive, tremendous help.”
The Result
Since implementing Clubspot, Maplewood has seen meaningful improvements across both operations and the member experience.
Internally, processes are faster and more intuitive. Staff training has been simple, and adoption has been immediate. “From the POS system for our staff, we haven’t had any issues. We sat down with everyone and did a tutorial one time and said ‘you click this, this and this’ and that’s it. It’s been really great.”
Members now benefit from a more connected and convenient experience. “We’ve received awesome feedback from the staff and the members on being able to utilize the new app, utilizing the website, being able to book reservations, book events, and reach out directly to us through Clubspot. The billing aspect from Clubspot has been beautiful. They get receipts as soon as they close out a tab. Right after an event they get a completely itemized receipt, and then they get notifications for events, upcoming events, upcoming reservations. It’s been really, really helpful, whereas before we didn’t have that.”
Perhaps most importantly, Clubspot has helped Maplewood balance high-touch service with modern self-service capabilities.
“Our members need a lot of hand holding when it comes to operations. They want you to do it all for them. Which is great, that’s what we’re here for. Clubspot really helps alleviate a lot of that pressure off of us because we’re a small team, and it puts the ball back in the members’ court. They can manage the payments, the billing, when you want to pay when it comes out. They can manage everything on Clubspot themselves. Make a reservation, everything is right there where the members need it, and it’s impressive honestly. It helps us a tremendous amount.”
When asked what she would say to other clubs considering the switch, Pierce is direct.
“Do it. It has everything that you could possibly think of, and if it doesn’t have exactly what you are looking for the support staff within Clubspot is willing to help you try to achieve whatever it is that you’re looking for. That’s the constant evolution within Clubspot. It’s like ‘no we hadn’t thought about that, but we can integrate it this way.’ The level of support that comes from Clubspot is phenomenal.
