How Niantic Bay Yacht Club Consolidated and Modernized Systems With Clubspot

Niantic Bay Yacht Club was looking to modernize and consolidate software systems while preserving the intimate feel that has always made the club special. The solution? Clubspot.

At Niantic Bay Yacht Club (NBYC), tradition runs deep. Since 1940, the club has been a gathering place for sailors, families, racers, and generations of members in Southeastern Connecticut who share a love of the water and the community built around it.

Behind that member experience is a lot of work. For NBYC’s leadership, the question arose of how to preserve the club’s welcoming culture while making everyday administration faster, simpler, and more connected.

The Problem

Like so many yacht and private clubs, NBYC had managed operations across several separate software systems for years. 

Financial management lived in a desktop accounting application, while website content and member communications were handled through separate hosting and email platforms. As the club’s needs evolved, keeping member records, communications, payments, and financial data aligned became more difficult.

“Managing information across multiple systems was time-consuming and often required duplicate effort,” says NBYC Webmaster Annemarie Gucwa. “Maintaining consistency between member records, communications, and financial data presented ongoing challenges.”

For a volunteer-driven club, that fragmentation created unnecessary work. NBYC needed a modern, web-based platform that could centralize key functions, simplify administration, and improve the experience for members.

The Solution

NBYC chose Clubspot because it could bring core club management functions together in one connected platform.

“The primary factor in selecting Clubspot was its ability to bring multiple club management functions together in a single platform,” Gucwa says. “We wanted a centralized solution that could support membership management, accounting integration, communications, website management, event administration, and racing activities.”

Implementation began with the club’s move from a desktop-based accounting system to an online accounting platform. From there, NBYC imported membership data into Clubspot, connected its accounting system, and configured email and website services. Throughout the onboarding process, Clubspot’s commitment to customer success shone through:

The Results

Since adopting Clubspot, NBYC has simplified daily administrative work, improved payment collection, and made member communication easier to manage.

One of the biggest improvements came in accounts receivable. Previously, many dues, event, merchandise, and club payments were made by cash or check, creating manual tracking work for the Assistant Treasurer. With Clubspot, more of that process moved online, saving a significant amount of time every week.

NBYC has also expanded its use of Clubspot’s communication tools. Managing email distribution lists is now much more efficient, helping the club keep member communications current without relying on the previous manual process.

Day-to-day purchases have become easier as well. The club recently began using Clubspot to collect real-time credit card payments for member purchases. Previously, those purchases were tracked manually in a notebook and often billed at the end of the season. The new process improves accuracy, reduces administrative effort, and creates a smoother experience for members.

Event management efficiency has been another win. Members can now register, RSVP, and pay for events online, eliminating the need for volunteers to collect payments manually at the event.

“This has saved time, reduced administrative burden, and allowed volunteers to focus on supporting club activities and engaging with members rather than managing transactions,” Gucwa says.

For members, the benefits are just as visible. Regatta results, event details, and calendar updates are now easier to access online and from mobile devices.
