Founded in 1925 and having just celebrated its centennial, the club has spent generations at the center of Tahoe’s maritime culture. What began as informal gatherings and races among boating enthusiasts evolved into an institution that now helps define the lake’s identity. “Tahoe Yacht Club is a 100-year-old yacht club that hosts numerous social events and sailing regattas, operates a bar serving both members and reciprocal guests, and celebrates the culture and history of Lake Tahoe. Because of this broad range of activities, we need software that functions as a centralized platform for club operations. Our system needs to serve as a one-stop shop for integrated billing, managing membership dues, tracking bar tabs, and handling end-of-month billing efficiently.”
The Challenge: Managing a High-Activity Club Without Centralization

Behind the scenes, that level of activity created operational strain. Like many clubs with long histories, Tahoe Yacht Club had built its processes across multiple tools that were never designed to work together.
Event management was one of the clearest pain points.
“On the events side, we realized we needed the ability to manage social event and regatta registrations, with payments integrated directly into our online calendar and RSVP functionality. Prior to Clubspot, we used separate programs for newsletters and communications, but we now manage our weekly newsletters directly through Clubspot, which has been a welcome consolidation of tools.”
Before making the switch, even basic workflows required manual effort. Event registration was equally cumbersome, especially at scale.
“One of the most significant issues involved collecting membership dues. Dues are due January 1st, but because many members paid by check, we often found ourselves following up with members as late as August to collect outstanding payments…. [prior to Clubspot], members RSVP’d to social events through linked Google Forms in the newsletter. This created a spreadsheet that staff then had to manually manage, updating attendance if members canceled or added guests. For paid events, we had to create a POS button for each event and charge members individually. For events with 100+ attendees, this process was extremely time-consuming.”
For a club that regularly hosts large, high-profile events in one of the most sought-after destinations in the country, these inefficiencies added up quickly.

“Our primary goal was to find a platform that could consolidate multiple functions into one system rather than relying on several separate tools. Event management was a major driver in our decision, as we needed a more streamlined way to handle registrations and payments for social events.
Automated billing was another key factor. Prior to Clubspot, dues processing represented one of the largest administrative burdens for our General Manager. Automating this process has saved significant time and improved financial consistency.”
By bringing billing, events, communication, and POS into a single system, the club was able to replace a collection of disconnected workflows with something cohesive and scalable.

Processes that once required constant staff intervention now run more efficiently in the background. Dues collection happens on time. Events are easier to manage, even at large scale. Communication is centralized.
“These tools have made day-to-day operations much more efficient for our team.”

“One thing we appreciate about Clubspot is the company’s willingness to listen to feedback from us.
