Improvements to the lodging cancellation request flow are just some some of the new launches from Clubspot in the past month.
This week’s new updates from Clubspot give clubs more control over lodging cancellations, make vendor invoice parsing more accurate, and simplify charging participants after a group class. Here’s a closer look at what’s new in Clubspot.
Manage Lodging Cancellation Requests
Clubs can now let members request cancellations for upcoming stays through the member portal. When the Allow cancellation requests setting is enabled in lodging settings, members can submit a request for a confirmed stay that has not yet started.
Staff can review requests in a new cancellation requests tab and from the lodging reservation details overlay. A red dot on the reservation tab indicates when a request is waiting for review. Requests can be approved or declined: approving one cancels the reservation, while declining it records the decision without changing the reservation. Cancellation requests do not change billing.
Club administrators can also receive a notification when a member submits a request.
More Accurate Vendor Invoice Parsing
Vendor invoice parsing has been improved to match products more reliably and accurately, including product options such as sizes. The system is also better at identifying shipping, embroidery, and similar charges and placing them in the “Other” section.
These refinements can help staff review parsed invoices with clearer product matches and expense details.
Charge Group Class Participants in Bulk
After a group class has started, staff can now bulk charge its participants. They can choose whether to include checked-in participants, non-checked-in participants, or both, and select or remove individual participants before charging.
When applicable, staff can also choose to charge packages. By default, charges are applied to participants’ house accounts.
