Letters of Reciprocity, Made Simple

Clubspot’s letters of reciprocity feature allows members to easily confirm and enjoy reciprocal privileges at partner clubs while travelling.

One of the best parts of private club membership is that the experience does not have to stop at the front gate. Whether a member is traveling across the country, visiting another city, or spending time abroad, reciprocal club access helps extend the value of membership far beyond a single property.

For many clubs, the process of sending letters of reciprocity still relies on manual staff workflows. A member reaches out, staff collects the details, someone drafts the letter, confirms the requested dates, finds the right contact, sends the message, and keeps track of what was requested. That's an unnecessary amount of effort in today's day and age, when a modern software system could automate that same process.

Clubspot makes that process much easier. With the new letters of reciprocity feature, clubs can enable a dedicated reciprocity experience directly inside Clubspot. Admins can send letters from a new reciprocity requests page, and clubs can choose whether only admins can send letters or whether active members can send them on their own through the member portal.

That member-facing experience is especially important. When enabled, letters of reciprocity can appear as a standalone page in the member portal, making the feature easy for members to find when they are planning travel. Instead of needing to call or email the club for help, members can request access to a reciprocal club directly from their account, with the relevant details collected in one connected workflow.

Club teams also get more control behind the scenes. Clubs can create an email template with placeholders for the member’s name and requested dates, which automatically populate based on the information collected when the letter is sent. That means less repetitive drafting, fewer manual steps, and a smoother process for both staff and members.

Private clubs are built on relationships, not just within their own walls, but across a broader network of clubs around the country and the world. Reciprocal access is a meaningful part of that network, and Clubspot helps make it feel as modern and easy as the rest of the member experience. With letters of reciprocity now built into the platform, clubs can offer a valuable membership perk with less friction, more consistency, and a better experience for everyone involved.
